Freight on Repackify is arranged per truckload. You set the delivery window when you buy; the seller and you agree the pickup on the order; and everyone who moves the load gets the date on their calendar the moment it is set.
Delivery windows
- You pick the delivery address and a requested delivery window when you buy, once per product; every truckload of that product goes there. The earliest day is the product’s lead time from today, counted in calendar days.
- Freight is priced per load from the pickup origin, the delivery address and the dock. No dock means a lift gate on that load.
- Truck capacity comes from the listing when the seller has published one, and from the product type’s standard truckload quantities when they have not. The truck loading calculator gives the real count for a chosen truck.
Agreeing the pickup
Once an order exists, pickup is coordinated on the order page rather than by message. The seller proposes a pickup date; the buyer accepts it, rejects it, or asks for a revision. On an order bought at checkout, a proposal that still gets the load to you by the date you chose is accepted for you straight away (for a load you collect, it has to fall inside your window at the same yard); any other date waits for your answer. If an accepted date is later cleared or moved, or the address changes, the order goes back to awaiting scheduling and the seller proposes again.
If the buyer never comes to collect a free pickup, the seller can choose Buyer didn't show up on the order from the day after the pickup date. The order is cancelled, the stock goes back on the listing, and the buyer is told that nobody came to collect it. A paid pickup is cancelled and refunded only by Repackify.
Who is told, and when
Every time a leg’s date or confirmed appointment changes, the order sends a scheduled notice with a calendar invite attached. Re-sending the same date, appointment, dock hours, address, collection mode and load summary does not notify anyone who already has that notice; someone added afterwards, such as a newly assigned carrier or a replaced fulfilment contact, still gets their first one. A moved date sends a new notice that names the date it replaces, and so does a same-day correction to any of those details.
A date without a confirmed time appears as an all-day calendar item, titled with the delivery window when there is one. The window starts from the dock hours saved on the delivery address for that day, and follows them when the date moves unless Repackify set a different one. The delivery notice also shows whether the dock is first come, first served or by appointment, plus its dock contact and access notes. Dock hours describe when the site can receive a truck; they do not reserve an appointment. A confirmed appointment carries its actual start time and timezone in the notice and invite. If its duration is not set, the invite does not reserve a made-up time block.
| Leg | Seller | Buyer | Carrier |
|---|---|---|---|
| Pickup | Always | When the buyer collects, or when there is no delivery date yet | When a carrier moves the load |
| Delivery | When the seller delivers | Unless the buyer collects | When a carrier moves the load |
The seller's pickup notice and the buyer's delivery notice copy your Repackify sales rep and, when a carrier moves the load, the carrier, so changes stay in one email thread.
Confirming or changing your delivery
When your order arrives on one truck, the buyer's delivery notice carries a Confirm or change delivery button, and the order page in your dashboard has the same choice. The button opens a page that shows only the delivery date, receiving window, delivery address and load, and works without signing in for 45 days. Because the notice is also copied to your sales rep and the carrier, the page emails a 6-digit code to the address the notice was sent to before it confirms or changes anything. Enter the code within 10 minutes; you can ask for a new one after a minute.
Choose Confirm delivery if the date and window work. If they do not, propose a different date, with receiving hours and a note if you need them. The current schedule stands until Repackify answers: we accept the change and send an updated notice, or tell you why it can't work. Repackify may also propose a different date, by email and on the same page; accept it, or propose another date. Either side has one proposal open at a time. If the delivery moves after you confirm it, confirm it again. An order that arrives on more than one truck lists each truck's date; contact your sales rep to change one.
The day before a pickup window opens, everyone who received the pickup notice for that date gets one reminder at 10:00 Eastern, with the dates, the address and window when they can see them, and the on-site contact. A pickup set or moved on the day before gets no reminder, because its notice has just gone out. The calendar invite and the calendar entry cover every day of a pickup window, not only the first.
The first notice goes out when the pickup proposal is accepted or when we release the order; nothing is sent while an order is still being created. The buyer's notice waits until the seller's pickup is confirmed or, on an order we arranged with the seller, until we have dated it, so the buyer hears about the schedule once it is settled. On a quoted order the seller's notice waits until the seller has picked the pickup day.
Tracking a load
Every order page shows each truck with its progress: scheduled, picked up, in transit and delivered, the last reported location, the carrier’s estimated delivery and the dated updates. It works the same whichever carrier moves the load.
A carrier’s notice carries an Update status link. It needs no account and opens only that load, where the carrier marks it picked up, in transit with its current city and an estimated delivery, and delivered. Each update moves the order straight away. The link lasts 45 days, and Repackify can send a new one or switch the old ones off at any time.
Bill of lading
On a marketplace order the seller is sent the bill of lading once the pickup date is agreed.
Orders counted at pickup
Pallet cores, IBC totes and similar loads are often bought on an estimate and counted when the truck is loaded. On those orders the line quantities are estimates and invoicing is held until a count is applied.
- After the pickup date passes, the buyer’s billing contact is emailed a count sheet link. It is resent every two days, and the link stays valid for 60 days.
- The buyer enters good and bad quantities per line, on the sheet or on the order page under Orders.
- We apply the count, and the invoice is repriced to match it.
